Claymore Collections Management System

The Claymore Collection Management System (CCBS) is a PC-based system providing accurate, timely information which helps a collector/museum curator manage their collection.

Scope of Processing

All items are monitored from their initial purchase through final disposition including:

  • ability to track objects by category (books, decorative art, fine art, manuscripts and photographs) with user-defined types within each category
  • ability to inventory tracking with location and transfer reporting
  • provides insurance information
  • provides auction information
  • provides loan information
  • allows multi-currency transactions
  • complete expense information
  • ability to record transactions by location/country
  • ability to track signature type
  • complete provenance reporting
  • ability to associate objects (sets, series, etc.)
  • ability to record multiple persons associated with object (designer, maker, author, illustrator, etc.)
  • ability to attach images
  • extensive search capabilities

Reporting

Comprehensive reporting is provided on acquisitions, disposals, “inventory” as well as items on loan and items loaned with expected return dates for each.

Reporting is available to support most required functions: asset control, insurance reporting, activity reporting and classification summaries.

While the system provides most reports required by a collector/museum, situations may arise where the necessary information is not reported – if the data has been entered into the system, it can be retrieved in other sequences, either in total or in detail.

The system data is available directly to any Windows-based reporting tool which utilizes ODBC (Open Database Connectivity); most Windows-based reporting tools support this standard. Commonly used tools to access and report on our data include Microsoft Excel, Microsoft Word, Crystal Reports as well as most other spreadsheets and report writers.

The system was initially developed for a major art collector with 40,000 items being managed in several major collection categories with the collection housed at several international facilities.

Security and Audit Trails

One of the common problems reported with most systems is the lack of adequate security and/or audit trails. Our system has been designed from the beginning with a keen concern for security as well as maintaining adequate transaction files to provide the necessary audit trails to support position, performance, customer exposure and contract changes.

Each user is provided an individual user-name to access the system and an access level is assigned. This access level controls the screens the user is permitted to view or update.
